How to Cancel a Procedure and Get a Refund?

This user guide explains how to cancel a procedure and get a refund. It outlines the simple steps to complete the cancellation and process the refund within the DigiMEDSPA Portal.

Understanding Terminologies

Procedure

A procedure is a professionally administered health or cosmetic treatment performed under medical supervision to improve wellness, skin health, or physical appearance.

Refund

A refund is the return of money to a patient for a product or service that was canceled, returned, or not delivered as expected.

Cancel a Procedure and Get a Refund

  1. The user can cancel a booking and request a refund through the EMR Board. Navigate to the bookings in the In Procedure section, hover over the “In Procedure” status, and click “Cancelled.”
  2. A confirmation pop-up will appear to confirm the cancellation and initiate the refund process. Click “OK” to proceed.
  3. The first section displays the booking status, service price, and deposit status. The second section allows you to manage the cancellation details. The Cancellation Fee and Refund Amount are automatically filled based on the booking settings configured in the portal, but you can adjust or waive these fees if necessary.
    Note: The refund is calculated by subtracting the cancellation fee from the deposit. If there is no cancellation fee, the patient receives a full refund. If no deposit was collected, the patient is charged the cancellation fee, and no refund is issued.
  4. To issue a refund to the patient’s card, check the “Process refund to patient's card” box, then click “Process Cancellation” to finalize the cancellation.
  5. The cancelled procedure will now appear in the “Scheduled” section of the EMR Board with a “Cancelled” status.Note: A cancelled booking can be reverted to the In Procedure phase. For instructions, see the article “How to Revert a Procedure Cancellation?”
    The procedure has been successfully cancelled, and the refund has been processed.
