Add Tax Rates on Products & Product Categories

This user guide offers step-by-step instructions on how to add tax rates to products and product categories added in the DigiMEDSPA Portal.

Understanding Terminologies

Tax Rate

Tax rates refer to the percentage of tax applied to retail items (e.g. skincare products) and service items (e.g. Botox or fillers) based on local tax regulations. These rates can vary by location and product type, and are important for ensuring compliance with tax laws. In billing, tax rates are automatically applied to the total cost of products or services purchased by patients. This ensures accurate invoicing, proper collection of taxes, and compliance with financial regulations, contributing to the Med SPA’s overall revenue management.

Products

A product refers to any item or material used or sold as part of the Med SPA services offered. This can include skincare products, cosmetics, injectables (e.g. Botox or dermal fillers), laser treatment tools, and other beauty or wellness-related items. Products are important for performing procedures effectively while proper management of products ensures the availability of quality materials and enhanced patient satisfaction.

Product Category

Product category refers to a group of similar or related products organized under a specific classification. Product categories help organize items such as skincare products, injectables, equipment, and treatment tools. Categorizing products makes it easier to manage inventory, streamline the selection process, and ensure that patients and providers can quickly find the right products for procedures.

Add Tax Rate on a Product

  1. The user can add tax rate on products by accessing the "Products & Inventory" App from two entry points.
    1. From the EMR Panel, click on “Products” under “Products & Inventory”.
    2. From the Left Navigation, open the “EMR Admin” dropdown, select “Products & Inventory”, and then choose “Products” from the subsequent dropdown menu.
  2. To add a tax rate on a new product, click "New Product" in the top right corner of the screen.
  3. Complete the first three steps of adding a product, including Product Details, Pricing, and Traceability. Proceed to Step 4, “Tax Settings”, to add the applicable tax rates for the product.Note: For detailed instructions on the first three steps, refer to our “Add / Edit Product” Article.
  4. In Step 4, select the “Custom Tax Rule” option. Individual fields for each Med SPA location will open. Enter the applicable custom tax rate (if applicable) for each location. Once all information is entered, click “Save”.
    Note: “Custom Tax Rule” refers to a specific tax applied to products, considering factors like location, service type, or special promotions. This ensures accurate tax application in compliance with local tax laws while offering flexibility to manage varying tax rates for different products at different locations.The Tax Rate on the product has been successfully added!

Add Tax Rate on a Product Category

  1. The user can add tax rate on product categories by accessing the "Products & Inventory" App from two entry points.
    1. From the EMR Panel, click on “Product Categories” under “Products & Inventory”.
    2. From the Left Navigation, open the “EMR Admin” dropdown, select “Products & Inventory”, and then choose “Product Categories” from the subsequent dropdown menu.
  2. To add a tax rate on a new product category, click "New Product Category" in the top right corner of the screen.
  3. Provide “Category Name”. Then select “Custom Tax Rule (Percentage)” to add the tax rate applied to the product category. Once selected, separate fields for each Med SPA location will open. Enter the applicable custom tax rate (in percentage) for each location. Click “Create Product Category” to save your new category. Note: Tax rates on products and product categories may differ by location due to varying local tax laws and regulations. This is why the DigiMEDSPA Portal provides the option to add tax rates separately for different locations.The Tax Rate on the product category has been added successfully!
