Attach a Booking to a Procedure
This user guide provides step-by-step instructions on attaching a booking to a procedure for accurate scheduling and efficient management. Linking a booking to a procedure ensures accurate record-keeping, billing, and tracking by associating the procedure details with the patient’s appointment.
Understanding Terminologies
Booking
A Booking refers to the scheduled appointment made by a patient for a specific procedure or service. This can be done online, over the phone, or in-person, and it includes details such as the time, date, and type of service requested, allowing the Med SPA to allocate time and resources for the patient’s visit.
Procedure
A Procedure in a Med SPA is any service provided to patients aimed at improving their esthetic appearance or wellness. This can range from non-invasive procedures like facials and laser therapy to injectables, skin resurfacing, or body contouring, and is typically administered by licensed professionals.
Attach a Booking to a Procedure
- The user can attach a booking to a procedure while creating “Cosmetic or Health Procedures” from five entry points:
- From the EMR Board tabs, click on the “MD Room” tab and select "New Cosmetic Procedure’’ or ‘’Health Procedure.’’
- From the EMR Board tabs, click on the “Provider Room” tab and select "New Cosmetic Procedure’’ or ‘’New Health Procedure.’’
- From the EMR Board select an appointment or booking that is in the ‘’Check-in’’ step then press the ‘’Next’’ button to move that booking to the ‘’In Procedure’’ phase.
When the bookings reach the "In Procedure" step on the EMR Board, the user can choose to create either a health or cosmetic procedure. Clicking on either of the procedures will take the user directly to the steps of creating the procedure.
- From the EMR Board tabs, click on “Bookings.”
From the list of all bookings, click on three dots under the action column and select "New Health Procedure" or ‘’New Cosmetic Procedure’’ for the specific booking.
- From the EMR Board tabs, click on “Patients.”
From the patient list, click on three dots under the action column and select "New Cosmetic Procedure" or ‘’New Health Procedure’’ for the specific patient.
- From the EMR Board tabs, click on the “MD Room” tab and select "New Cosmetic Procedure’’ or ‘’Health Procedure.’’
Attach a Booking to Cosmetic Procedure
- You can attach a booking to the procedure in Step 2 of creating a cosmetic procedure by either creating a new booking or selecting an already scheduled one.
- The already scheduled bookings for that patient will be shown in the dropdown, the user can select from here to attach it to the procedure.
Note: In Step 1 of creating a cosmetic procedure, you will enter the patient information. You can learn more about creating a cosmetic procedure in detail by referring to our ‘’Create a Cosmetic Procedure’’ user guide.
- If you choose to create a new booking, select the Location, Service, Duration, Provider, and Time Slot. Then press ‘’Create Booking.’’
- Select 'Cosmetic' as the procedure type, then click 'Next' to continue and fill the next steps to create the cosmetic procedure.
The booking will be successfully attached to the cosmetic procedure. Note: To learn about the next steps of creating a cosmetic procedure, refer our user guide ‘’Create a Cosmetic Procedure.’’
Attach a Booking to Health Procedure
- In Step 2 of creating a health procedure, you can attach a booking to the procedure by either creating a new appointment or selecting an already scheduled one.
- The already scheduled bookings will be shown in the dropdown, the user can select from here to attach it to the procedure.
Note: In Step 1 of creating a health procedure, you will enter the patient information. You can learn more about creating a health procedure in detail by referring to our ‘’Create a Health Procedure’’ user guide.
- If you choose to create a new booking, select the Location, Service, Duration, Provider, and Time Slot. Then press ‘’Create Booking.’’
- Select 'Health' as the procedure type, then click 'Next' to continue and fill the next steps to create the health procedure.
