Add / Edit Pricing Variations
This user guide offers detailed step-by-step instructions on how to add and edit pricing variations in the DigiMEDSPA Portal.
Understanding Terminologies
Pricing Variations
Pricing Variation refers to the differences in the cost of a service or product based on factors such as provider expertise, location, demand, service customization, or special discounts. Pricing Variation enables flexible pricing, better promotional control, and optimized inventory management across multiple locations and product types.
Add a Pricing Variation
- The user can add a pricing variation by accessing the "Products & Inventory" App from two entry points.
- To add a new pricing variation, click on the “New Pricing Variation‘’ button in the top right corner of the screen.
- Enter the “Name of Pricing Variation”, then select the “Manage Price” option from the dropdown, choosing either At Product Level or A Collective Total/Recipe based on how you want to manage the pricing.
Note: “At Product Level” option lets you manage and adjust the price of individual products at different locations. The same product may have varying prices across locations based on factors like local demand or operational costs. This provides flexibility in setting prices to match each location's market conditions. A ‘’Collective Total/Recipe” option manages pricing for grouped products or categories, often called a "recipe." Products are organized into buckets like Retail, Medical Supplies, or Service Buckets. Instead of setting prices individually, you manage the total price for the group, useful for promotions or packages.
- Select the “Custom Tax Rule” option to enable individual fields for each Med SPA location to enter the applicable custom tax rule, if any.
Note: “Custom Tax Rule” refers to a specific tax applied to products, considering factors like location, service type, or special promotions. This ensures accurate tax application in compliance with local tax laws while offering flexibility to manage varying tax rates for different products at different locations.
- At Product Level
- After selecting the “At Product Level” option from the dropdown, click the “Add Product” button.
Note: You can add multiple products by clicking “Add Product” and remove any product by clicking “Remove”. Each selected product at “At Product Level” will be managed individually, not as part of a group.
- A tab will open where you can select the product, along with separate fields for each Med SPA location. First, select the “Product Name” from the dropdown menu.
- Enter the “Original Price per Unit” and the “New Price per Unit” for each Med SPA location individually. Once done, click “Create Pricing Variation”
Note: The “Original Price per Unit” refers to the current or existing price of a single unit of a product before any changes are made. It represents the standard cost at which the product is being sold at each location. The “New Price per Unit” is the updated or adjusted price set for a single unit of the product, reflecting any changes such as discounts, promotions, or price adjustments based on market conditions or location-specific factors.The inventory variation has been added successfully!
- After selecting the “At Product Level” option from the dropdown, click the “Add Product” button.
- A Collective Total/ Recipe
- After selecting the “A Collective Total/Recipe” option from the dropdown menu, a "Total Price" field will appear. Click the ‘Add Bucket’ button to proceed.
Note: The “Total Price” will be calculated automatically for the pricing variation after you select products, enter their units, and price per unit.
- Select the “Bucket Type” from the dropdown menu.
Note: Select “Service Bucket” for products used in services or procedures offered at the Med SPA, such as Botox injections, chemical peels, and other procedures. The pricing for these service items is grouped together in this category for promotions or packages. Select “Retail Bucket” for items sold directly to patients, like skincare products, beauty tools, and other products for at-home use. This bucket helps manage and price over-the-counter retail products. Select “Medical Supplies Bucket” for medical supplies used in procedures, such as syringes, gloves, and other consumables. These items are not sold to patients but are essential for performing procedures.
- Click “Add” to add a product for the selected bucket type.
Note: The "Allow provider to choose any product while charting" option gives the provider flexibility to select specific products from a bucket while performing a procedure. The provider can choose any relevant product from the available options during the charting process without being limited to a specific item. This ensures flexibility in selecting the most appropriate products for the patient while maintaining pricing based on the collective group.
- “Search Product” from the dropdown menu. Enter the Units, Color, and Price per Unit for the selected product.
Note: ‘’Units’’ are the quantity or number of items of a product being measured or sold. ‘’Price per Unit’’ is the cost assigned to a single product unit.The specific “Color” of the product is used to distinguish variations. The dropdown menu will only display products that are relevant to the selected bucket type.
- You can select as many products as needed for the selected bucket type by clicking "Add". Moreover, you can add multiple buckets to your inventory variation by clicking “Add Bucket”.
- After entering all the required information, click “Create Pricing Variation”.
The pricing variation has been added successfully!
- After selecting the “A Collective Total/Recipe” option from the dropdown menu, a "Total Price" field will appear. Click the ‘Add Bucket’ button to proceed.
Edit a Pricing Variation
- From the pricing variation list, click on three dots under the action column and select "Edit" for the specific pricing variation.
- Make the necessary changes and click “Update Pricing Variation.”
The pricing variation has been edited successfully!Note: The pricing variation can also be edited by clicking the "Edit Pricing Variation" button in the top right corner of the View Pricing Variation Page.
