Add / Edit / Delete Provider Schedule

This user guide offers clear, step-by-step instructions for efficiently adding, editing, and deleting provider schedules within the DigiMEDSPA Portal. By following these guidelines, the user can ensure timely management of provider availability, helping to prevent scheduling conflicts or periods of unavailability.

Understanding Terminologies

Provider’s Schedule

A provider's schedule is a structured timetable showing when a provider is available for performing procedures, treatments, and consultations. Accurate scheduling ensures smooth clinic operations, preventing overbooking, reducing wait times, and optimizing resources efficiently. This also helps manage the provider's workload, ensuring that each procedure is allocated the appropriate amount of time.

Adding the Provider’s Schedule

  1. Provider’s schedule can be added through the "Providers App," accessible via 2 entry points.
    1. From the EMR Panel, click on “Providers” under “EMR Admin.”
    2. From the Left Navigation, click on the “EMR Admin” dropdown and select “Providers.”
  2. Click on "New Provider" in the top right corner of the screen.
  3. Enter the provider's details in Step 1, completing all required fields. Once done, click "Next" to proceed to the provider scheduling step.
    Note: For detailed instructions on adding a new provider, refer to our ‘’Add/ Edit Provider’’ user guide.
  4. Step 2, adding the provider's schedule step, includes three sections: Weekly Schedule Details, Day Schedule Details, and Unavailability Details.
    1. First, enter the provider’s weekly schedule details for the specific locations you selected in Step 1. Enter the “Start Date” and “End Date” for the time period you want this weekly schedule to apply. A display of all weekdays will appear, each with fields for “Start Time” and “End Time”. Select the specific days the provider will be available, and enter the “Start Time” and “End Time” for each day separately. If the provider is available in intervals on the same day, you can click the plus sign to add multiple “Start Time” and “End Time” for that day.
    2. To add a schedule for a specific day that differs from the provider's regular weekly schedule, such as working on holidays or an exceptional day, click on "Add Another Day Schedule."
    3. From the dropdown menu, select the clinic “Location”. Then, choose the specific “Date” for the day schedule and enter the “Start Time” and “End Time” based on the provider's available hours.
      Note: Clicking the "Remove" button will delete the selected Day Schedule Details permanently.
    4. To add an unavailability period for the provider, click on "Add Another Unavailability." Enter the “Start Date” and “End Date” for the unavailability period, along with the “Start Time” and “End Time”. Once the provider’s entire schedule has been set, click "Next" to proceed.
      Note: Adding a location for the provider's unavailability is unnecessary since the provider will be unavailable at all locations during the specified period.
  5. In Step 3, enter the “Booking Details” for patient rescheduling or canceling an appointment, including any applicable cancellation fees and refund details. "Submit" to save the details.
    The provider's schedule has been successfully added!

Edit / Delete Provider Schedule

  1. From the provider list, click on three dots under the action column and select "Manage Schedule" for the specific provider.
    Note: You can also click on "Edit" above “Manage Schedule” to edit the provider's schedule. Once the provider's details are opened in edit mode, go to Step 2, which is the schedule section, and make the necessary changes as needed.
  2. The provider's schedule will open in edit mode, allowing the user to make any necessary changes. Once you've made all modifications, click "Update Schedule" to save your changes. Note: To delete a specific schedule, select "Delete" below the relevant schedule section.The provider’s schedule has been successfully edited!
