Create and Manage Patient Notes

The DigiMEDSPA Portal allows you to create and manage two types of patient notes: “Normal Notes” and “Sticky Notes”. Create a normal note for non-urgent matters that don’t need frequent reminders and a sticky note for urgent information that must be addressed or seen immediately. This user guide provides instructions on how to create and manage patient notes effectively.

Understanding Terminologies

Normal Note

A normal note is a standard note added to a patient’s profile. It remains in the note list but does not pop up automatically. Normal notes are ideal for documenting general information, such as treatment history or notes that may not require immediate attention during every booking.

Sticky Note

A sticky note is a pop-up note that automatically appears when a patient’s profile is opened. It is used for important, time-sensitive information or reminders, such as allergies, special preferences, or urgent instructions that need to be seen by the provider before booking an appointment or performing a procedure for that patient.

Create a Sticky Note

  1. A patient note is created in the "Patients App," accessible via three entry points.
    1. From the EMR Board Tabs, select “Patients”.
    2. From the EMR Panel, click on “Patients” under “EMR Board”.
    3. From the Left Navigation, click on the “EMR Board” dropdown and select “Patients”.
  2. From the patient list, click on three dots under the action column and select "View Patient Profile" for the specific patient.
  3. Click on "Patient Notes" from the menu titles.
  4. From the top right corner, click on “New Note.”
  5. Enter the required information, including “Title”, “Content”, and “Note Type”. From the dropdown menu, select “Sticky.”
  6. To access “dot phrases”, type a dot (.) in notes. These pre-created phrases will appear in a dropdown menu, allowing you to quickly select and insert repetitive notes instead of typing them manually.
    Note: To use Dot Phrases, users must first create and save these repetitive phrases in the Dot Phrases App. Once saved, you can easily insert them by typing a dot wherever needed. Dot Phrases can be created and managed within the 'Clinical Documentation' App in the portal. For step-by-step instructions, refer to the “Add / Edit Dot Phrases” tutorial.
  7. After filling in all the required information, click “Create Note” to save.
    The Sticky Note has been successfully created!

Acknowledge Sticky Note

  1. Each time the patient's profile is viewed, the sticky note will pop up on the screen until it is acknowledged. Clicking "Acknowledge" confirms that the note has been seen by the provider, and it will no longer pop up each time the patient's profile is opened.
    Note: Once acknowledged, the sticky note will remain in the patient’s notes and its status will change to "Yes" in the Acknowledged column.

Create a Normal Note

  1. From the Patients Notes in the Patient Profile, click 'New Note' in the top right corner of the screen.
  2. Enter the required information, including “Title”, “Content”, and “Note Type”. From the dropdown menu, select “Normal.”
  3. To access “dot phrases”, type a dot (.) in notes. These pre-created phrases will appear in a dropdown menu, allowing you to quickly select and insert repetitive notes instead of typing them manually.
    Note: To use Dot Phrases, users must first create and save these repetitive phrases in the Dot Phrases App. Once saved, you can easily insert them by typing a dot wherever needed.   4. After filling in all the required information, click “Create Note” to save.
    The Normal Note has been successfully created!

Edit a Patient Note

  1. From the note list, click on three dots under the action column and select "Edit" for the specific note.
  2. Edit the information you would like to change. Once finished, click 'Update Note' to save your changes.
    The Patient Note has been successfully edited!Note: Both sticky and patient notes are edited in the same way from the patient note list. Sticky notes can be edited before or after acknowledging the note. To edit a note, simply click 'Edit Note' at the top right corner of the view note page

Convert to Normal / Sticky Note

  1. From the note list, click the three dots in the action column and select 'Convert to Normal Note' for a sticky note, either before or after acknowledging it. Once converted, the note will no longer pop up automatically when the patient's profile is opened. Instead, it will remain in the patient's note list as a normal note, accessible when needed.
    Note: Normal notes can be converted to sticky notes in a similar way by selecting "Convert to Sticky Note" from the options in the action column.
